1.Scope

This Job Applicant Privacy Notice applies to personal information collected from individuals who apply for employment or express interest in employment with Density AI, Inc.

2.Categories of Personal Information Collected

We may collect:

  • Identifiers (name, email address, phone number, mailing address)
  • Professional and employment‑related information
  • Education history
  • Resume, CV, and application materials
  • AI-generated assessments, including match scores, skill extractions, and written reasoning summaries derived from your resume through automated resume analysis tools
  • Communications related to recruiting

We do not intentionally collect sensitive personal information unless voluntarily provided.

3.Purposes for Collection

Applicant information is collected for:

  • Recruiting and hiring decisions
  • Communicating with applicants
  • Evaluating qualifications, including through AI-assisted resume analysis that generates match assessments to support human review of applications
  • Legal and regulatory compliance
  • Maintaining recruiting records

4.Sources of Information

  • Directly from you via email or web forms
  • Referrals (if applicable)
  • Automated analysis of materials you submit (e.g., AI parsing of your resume to extract skills, experience, and employment history)

5.Disclosure of Information

Applicant information may be shared with:

  • Internal personnel involved in hiring decisions
  • Services providers providing candidate and resume analysis and evaluation, including without limitation:
    • Greenhouse Software, Inc., ("Greenhouse Software") our applicant tracking and recruiting platform, which processes job applicant personal information including resume data on our behalf; and
    • OpenAI, LLC, ("OpenAI") a sub-processor engaged by Greenhouse Software to perform AI-assisted resume analysis. Pursuant to a Data Processing Agreement between Greenhouse and OpenAI, OpenAI is prohibited from using personal data to train its models or for its own purposes.
  • IT or website service providers
  • Legal or regulatory authorities as required by law

We do not sell or share applicant personal information.

6.Retention of Information

Applicant information is retained for 12–24 months following the hiring decision unless deletion is requested or a longer retention period is required by law.

7.California Privacy Rights

California residents may request to:

  • Access their personal information
  • Correct inaccurate information
  • Request deletion of personal information
  • Access AI-generated match scores, skill extractions, and reasoning summaries created in connection with their job application
  • Opt out of automated processing of their resume and request manual review of their application (where technically supported by our recruiting platform)
  • Object to or request human review of any AI-assisted evaluation that significantly affects their candidacy
